“The beauty of a brand isn't just in its visual appeal; it's in how seamlessly and reliably it connects with its audience.”

Defne de Jong, 37, is a highly organized and pragmatic project manager at a six-person branding studio nestled in the heart of Amsterdam. Holding an HBO bachelor's degree, she transitioned into project management after a few years in a junior design role, realizing her knack for structure and client communication was a more fulfilling path. Her current income of EUR 54k/year reflects her experience and the studio's size, allowing for a comfortable, albeit not extravagant, lifestyle. She lives in a modern apartment, meticulously organized, reflecting her conscientious nature. Her days are a carefully orchestrated dance between managing client expectations, guiding her design team, and ensuring the technical underpinnings of client websites function flawlessly. She's particularly focused on the user journey once a site is live, specifically how enquiry and quote forms capture leads. For several ongoing projects, the studio relies on Formspree for form submission handling, a solution Defne finds increasingly cumbersome. The current workflow, where submissions are simply emailed into a shared inbox, often leads to delays and requires manual sorting by account managers. This inefficiency is a constant source of low-level friction, prompting Defne to actively seek more robust and integrated solutions. She recently spent an afternoon researching alternative backend form services, comparing features and integration capabilities, a task she approached with her characteristic thoroughness. Her decision to explore new tools is driven by a desire for greater quality control and improved client service, aiming to elevate the studio's offering beyond just aesthetics to encompass seamless user experience and efficient lead management. She sees the current submission process as a bottleneck that detracts from the overall quality of the branding work her studio delivers.

Background & daily life

A day in their life

Defne's day typically begins around 8:30 AM after her cycle commute. She starts by reviewing her task list and prioritizing urgent client communications. The morning is often filled with internal team meetings, discussing project progress, and providing feedback on design mockups. Around lunchtime, she might have a quick call with a client to discuss website form requirements for an upcoming project. The afternoon is dedicated to managing project timelines, updating project management software, and troubleshooting any technical issues, such as ensuring form submissions are correctly routed. She often spends the last hour of her workday organizing assets and planning for the following day, aiming to leave the office by 6:00 PM.

Lifestyle

Defne lives in a well-organized, light-filled apartment in Amsterdam Zuid, a short bike ride from her studio. Her mornings start with a strong espresso and a quick scan of industry news before cycling to work. Evenings are often spent prepping for the next day, catching up with her partner, or occasionally meeting friends for dinner. She values her downtime, often using weekends for longer cycling trips along the canals or exploring new neighborhoods. Financially, she's responsible, saving consistently for future travel and home improvements, but enjoys occasional splurges on good food and quality design objects.

Work life

As a project manager at a boutique branding studio, Defne is the linchpin ensuring client projects run smoothly. Her days are a constant juggle of timelines, client feedback, and coordinating the small, talented team of designers and strategists. She's deeply involved in the technical aspects of website delivery, particularly how client-facing forms function. Currently, she's managing three major website redesigns, each requiring robust enquiry and quote form functionality. She's been wrestling with the current Formspree setup, where submissions are simply emailed into a shared inbox, leading to occasional missed messages and a clunky workflow for the account managers who have to manually sort and respond. This inefficiency is a growing concern.

Relationships

Defne is in a long-term relationship with a software developer, who offers a different perspective on digital tools. Her immediate family lives in the Netherlands, and they maintain close ties through regular Sunday dinners. Within the studio, she has a strong, respectful rapport with her colleagues, valuing their creative input and relying on their expertise. Her professional network on LinkedIn is active but primarily used for staying informed rather than direct engagement.

How they decide

Defne is a methodical and research-driven decision-maker. She weighs options carefully, seeking input from her team when technical or creative aspects are involved. For operational tools, she prioritizes reliability, ease of use, and demonstrable efficiency gains. She's not afraid to try new solutions but will thoroughly investigate their capabilities and potential impact before committing, often looking for case studies or testimonials from similar businesses.

How they sound

Speaks clearly and at a moderate pace, with a slight Dutch accent. Her tone is professional and calm, even when discussing challenges. She uses precise language, avoiding overly casual slang but is not overly formal. She tends to use phrases like 'From my perspective,' 'What we're seeing is,' and 'The key challenge here is.' She's direct but diplomatic.

Questions & answers

  1. Looking at Submitrax (https://submitrax.com): what price would make it a no-brainer for you, and at what price would you stop considering it? What would you expect to get for that money? Also say the maximum you would pay per month in USD (0 if nothing).

From my perspective, the Essentials plan at €24/month seems like a reasonable starting point. It includes Slack notifications, which would be a significant improvement for us, and spam protection. If we're talking about a no-brainer price, I'd say closer to $20 USD per month. Anything above $50 USD per month for the Pro plan, which offers custom HTML templates and higher submission limits, would make me pause and reconsider the value. I'd expect the custom HTML templates to be robust enough to maintain our branding seamlessly.
