“The beauty of a well-organized system is that it allows for calm, even when everything else feels chaotic.”

Jenna van de Meer has always possessed an innate drive for order and efficiency. Growing up in a modest household in Utrecht, she learned early on the value of meticulous planning and responsible resource management, often helping her parents balance household budgets. This foundational experience shaped her academic path, leading her to pursue a Bachelor's degree in Business Administration with a focus on operations and finance. Upon graduation, she entered the corporate world, but quickly found herself drawn to the dynamic, albeit sometimes less structured, environment of smaller businesses. Five years ago, she joined her current marketing agency, initially in a more general administrative role, but her knack for identifying and fixing operational inefficiencies soon saw her promoted to Operations Manager. She now oversees the day-to-day functioning of the 7-person remote team, a role that demands constant vigilance over their digital infrastructure and financial commitments. Her primary responsibility involves managing the agency's recurring software charges – a task she approaches with the same rigor she applied to her childhood allowance. She maintains an intricate spreadsheet, a digital testament to her commitment to financial clarity, cross-referencing monthly statements from Figma, Canva, stock photo subscriptions, VPN services, and even annual office supply renewals. This meticulous approach is not just about saving money; it's about creating a stable, predictable financial foundation that allows the creative team to focus on their work without disruption. She views her role as the agency's 'financial architect,' ensuring every euro is accounted for and strategically allocated. While she values her autonomy and the trust placed in her, she's also keenly aware of the time commitment, striving to maintain a healthy work-life balance by strictly adhering to her working hours and dedicating her evenings and weekends to personal interests like interior design and reading.

Background & daily life

A day in their life

Jenna's typical weekday begins around 7:00 AM with a quiet breakfast and a review of her personal and work calendars. She cycles to her co-working space by 8:30 AM, immediately diving into emails and prioritizing urgent tasks. Her morning is often spent reconciling invoices, approving payments, and checking in with team members on project status. Lunch is usually a packed meal eaten at her desk while catching up on industry news. The afternoon involves more administrative tasks, vendor communication, and updating her master spreadsheet of recurring charges. She aims to wrap up by 5:30 PM, leaving time for a brief walk or a quick stop at the local market before heading home. Evenings are for unwinding with a book or tending to her plants.

Lifestyle

Jenna's life in Amsterdam is a carefully curated balance of professional dedication and personal comfort. She lives alone in a well-appointed apartment, a sanctuary filled with plants and art she's collected over the years. Her mornings begin with a strong coffee and a review of her digital calendar, followed by a brisk walk or cycle to her co-working space. Evenings are typically quiet, dedicated to reading, tending to her balcony garden, or trying out new recipes. She prioritizes her health, enjoying cycling as her primary mode of transport and fitting in yoga sessions twice a week. Financially, she's a saver, not a spender, preferring to invest in quality items that last rather than chasing trends.

Work life

As the operations manager for a small, remote marketing agency, Jenna is the linchpin holding everything together. Her days are a constant juggle of managing vendor relationships, ensuring smooth project workflows, and, crucially, keeping a hawk's eye on the agency's finances. This involves meticulously tracking recurring software subscriptions for tools like Figma, Canva, and various stock asset libraries, as well as annual renewals for essential office services. She relies heavily on her meticulously maintained spreadsheet, cross-referencing it with monthly credit card statements to catch any discrepancies or unexpected charges. The pressure is constant but manageable, stemming from the need to maintain profitability and ensure the team has the resources they need without overspending. She works closely with the agency owner and the small team, fostering a sense of shared responsibility.

Relationships

Jenna maintains strong, professional relationships with her seven colleagues, valuing clear communication and mutual respect. Her closest confidante is the agency owner, with whom she shares a collaborative working dynamic. Outside of work, her social circle is small but close-knit, consisting of a few long-time friends from university. Family ties are important, and she speaks with her parents weekly, though they live in a different province.

How they decide

Jenna is a highly analytical and cautious decision-maker. She gathers all available data, researches alternatives thoroughly, and often creates comparison charts or pros-and-cons lists before committing. She values practicality and long-term viability over immediate appeal or trendiness. For significant decisions, she might consult with a trusted colleague or the agency owner, but ultimately relies on her own research and judgment.

How they sound

Speaks with a clear, measured cadence. Her Dutch accent is subtle but present. She uses precise language, avoiding slang or overly casual expressions in professional settings. When discussing processes or finances, she can become quite detailed. She tends to pause thoughtfully before answering complex questions. She avoids hyperbole and sticks to facts.

Questions & answers

  1. Think about your own work or business in this area: Maker launch on TinyLaunch: Never miss a renewal. Local-first. No account needed.. the product is a Chrome extension that tracks your subscriptions and reminds you before each… What is the single biggest problem you have there right now? Be specific about what it costs you (time, money, customers) and what you have already tried.

The single biggest problem for me is ensuring I haven't missed any annual renewals. We have a lot of recurring software – Figma, Canva, stock photos, VPNs – and while I meticulously track them on a spreadsheet, a missed annual renewal could mean a lapse in service or an unexpected larger charge later. It costs me maybe an hour or two each month to reconcile everything against statements, and the potential financial hit if something slipped through is the main concern. I've tried setting calendar reminders, but with so many subscriptions, it's easy for one to get overlooked in the shuffle.
