“The most important thing is that everything runs smoothly, accurately, and on time. If the paperwork is in order, the rest of the work can flow.”

Bartolomea Botta has been the steady hand guiding the administrative ship at her Milanese consulting firm for the past eight years. Her journey into office management began after completing a vocational diploma, where she developed a strong foundation in organizational skills and business administration. She found her niche in ensuring the smooth day-to-day operations of a professional environment, a role that perfectly aligns with her inherent desire for order and efficiency. Her income of €39k reflects her experience and the critical, albeit often behind-the-scenes, nature of her contribution to the 25-person firm. Bartolomea's work life is deeply intertwined with the firm's output, particularly the generation of essential documents like contracts, invoices, and visitor certificates. She takes immense pride in her meticulous approach, viewing each document as a reflection of the firm's professionalism. This dedication, however, comes with its own set of challenges. The firm's continued reliance on manual processes, specifically the weekly task of exporting numerous documents from Word or LibreOffice into PDF format, consumes a significant portion of her time and energy. She has recently been exploring ways to optimize this workflow, recognizing the inefficiencies and the potential for human error. Bartolomea is not one to embrace change lightly; she values practicality and dependability above all else. Any potential shift in her tools or processes must demonstrate clear, tangible benefits in terms of time saved and accuracy improved. Her personal life is characterized by a similar sense of structure and quiet routine, providing a stable counterpoint to the demands of her professional responsibilities. She views her role not just as a job, but as a vital service that enables the consultants to focus on their core expertise.

Background & daily life

A day in their life

Bartolomea's day begins around 7:00 AM. After a quick breakfast and checking personal messages, she commutes to the office, often listening to a business podcast. By 8:30 AM, she's reviewing her to-do list, prioritizing tasks for the day. The morning is typically filled with responding to emails, scheduling meetings, and assisting consultants with urgent requests. Around mid-morning, she dedicates an hour to coordinating the weekly document output, manually exporting PDFs from Word files for contracts and invoices. Lunch is a quick affair, usually a packed meal eaten at her desk while catching up on industry news. The afternoon involves more administrative tasks, filing, and preparing for upcoming client visits, ensuring all visitor certificates are ready. She aims to leave by 6:00 PM, but often stays a bit later if document deadlines loom.

Lifestyle

Bartolomea lives in a comfortable, if slightly dated, apartment in the Città Studi area of Milan, inherited from her grandmother. She maintains a structured routine, waking early to prepare a simple breakfast before her commute. Weekends are for essential errands, visiting her aging parents in the suburbs, and occasional quiet evenings with a close-knit group of friends. She enjoys cooking simple, traditional Italian meals and finds satisfaction in maintaining her home with the same order she applies at work. While not extravagant, she manages her finances prudently, prioritizing stability and future security over immediate gratification.

Work life

Bartolomea is the linchpin of the 25-person consulting firm's administrative operations. Her days are a constant juggle of managing schedules, fielding client inquiries, and, crucially, overseeing the meticulous creation and distribution of documents. Contracts, invoices, and client certificates are her domain. The firm's reliance on Word and LibreOffice for document creation means a significant portion of her week involves manual PDF exports, a process she finds increasingly time-consuming. She feels a strong sense of responsibility for ensuring accuracy and timely delivery, often staying a little late to double-check everything before it goes out.

Relationships

Bartolomea is close to her parents, whom she visits weekly, and maintains a small circle of long-term friends from her vocational school days. Within the office, she has a respectful, professional relationship with the consultants, who rely on her efficiency. The managing partner, Signor Rossi, trusts her implicitly with administrative matters, often deferring to her judgment on office operations.

How they decide

Bartolomea is a cautious and research-oriented decision-maker. She prefers to gather information, understand the implications, and consider practical benefits before committing to any change. She values reliability and proven methods, often seeking input from trusted colleagues or looking for clear evidence of a solution's effectiveness before adopting it.

How they sound

Speaks with a clear, measured tone, using standard Italian with a slight Milanese accent. Her language is professional and direct, avoiding slang or overly casual expressions in a work context. She tends to use precise terminology related to administration and business processes. When discussing challenges, she's factual and calm, focusing on the process rather than assigning blame. She avoids hyperbole and prefers concrete examples.

Questions & answers

Bartolomea Botta’s public research answers, newest questions first. Up to 10 per page.

  1. What do you use today instead of ApiJolt (https://apijolt.com/) (a competitor, a spreadsheet, doing it by hand)? Compared with that, what would make ApiJolt better or worse for you, and what would keep you on your current option? Also say the maximum you would pay per month in USD (0 if nothing).

Currently, we manually export documents to PDF from Word or LibreOffice. ApiJolt's ability to convert DOCX, XLSX, and other formats directly via an API is very appealing. It promises to save significant time and reduce the risk of errors in our weekly document assembly. The main concern would be integrating this into our existing workflow without causing disruption. If it works as described, it could be a real improvement. The free beta is a good start to test it. For paid plans, I would need to see more usage data and compare it against the value it brings, but perhaps around $30 per month to start.
